POSITION SUMMARY
The Project Coordinator will support the project team on-site with direct communication and coordination duties with the client. This role involves overseeing and coordinating daily activities within the facility, including special events/set-up and routine tasks. The Project Coordinator is responsible for ensuring that administrative tasks and projects are executed efficiently, confidentially, accurately, and flexibly. This position requires independent judgment to manage day-to-day operations and address issues as they arise. Regular interaction with both internal and external stakeholders is a key aspect of this role.
KEY JOB RESPONSIBILITIES:
- Review, Plan, Schedule, and Execute in a timely manner.
- Monitor building software
- Coordinate and oversee the daily activities of movers in a facility
- Highly effective communication with customers, clients, and team
- Coordinate special event set up
- Effectively manage meetings, including scheduling, preparing agendas, printing reports, recording detailed notes, and coordinating catering arrangements.
- Email correspondence, complex calendar management, scheduling, and travel coordination on behalf of the Executive, ensuring smooth and well-coordinated engagements.
- Oversee continuous functional projects through collaboration and effective communication with the Barton Malow Senior Leadership team.
- Facilitate in-person attendance and technology during various meetings multiple times per week.
- Varying administrative tasks, including, but not limited to, booking appointments, research projects, and running miscellaneous errands outside of the office.
- Efficiently process mail and packages, ensuring timely distribution and appropriate action.
- Acts as a general information resource for team members.
REQUIRED PROFICIENCIES:
- Proficient with Microsoft Office suite, including Word, Excel, PowerPoint, Outlook, and Teams.
- Exceptional communication skills, both written and verbal, with the ability to interact across multiple platforms (in-person, virtual, emails, and texting).
- Ability to maintain a high level of discretion and sensitivity in relation to confidential personal and professional information.
- Ability to foster a collaborative and supportive work environment, promoting open communication and a positive team culture.
- Technologically savvy with the ability to enthusiastically embrace and promote new technology.
- Strong organizational and time management skills with the ability to meet deadlines and multi-task.

REQUIRED EDUCATION, EXPERIENCE, AND ABILITIES:
- Minimum requirement of an Associate degree; a bachelor’s degree in business administration or a related field is preferred.
- Proven experience of 2-5 years supporting a project team, mid-level managers and senior-level executives.
- Ability to bend, reach, and lift boxes and office supplies up to 30 lbs.
- This is a project-based role.
