POSITION SUMMARY
The Executive Office Coordinator plays a crucial role in ensuring the smooth operation of the Executive Office and Barton Malow Headquarters. As a key member of the administrative team, this position involves coordinating a diverse array of tasks. The role demands strong communication skills, meticulous attention to detail, and the ability to multi-task efficiently, along with a basic level of independent judgment.
KEY JOB RESPONSIBILITIES:
- Assists the Executive Office team in coordinating, planning, and executing Barton Malow initiatives and events, ensuring their success and smooth operation.
- Provides administrative support to the Barton Malow Headquarters facilities team, ensuring the overall efficiency and functionality of the facility.
- Provides administrative support to the Executive Office including but not limited to, appointment and event coordination, conducting research projects, and handling various errands.
- Oversight and administration of Southfield Headquarters corporate event tickets.
REQUIRED KNOWLEDGE, EDUCATION, EXPERIENCE, SKILLS, AND ABILITIES:
- Minimum requirement of a bachelor’s degree in business administration or related field preferred.
- Prior experience in an administrative position preferred.
- Proficient with Microsoft Office suite, including Word, Excel, PowerPoint, Outlook, and Teams.
- Strong communication skills – written, verbal, and interpersonal.
- Proficient in handling various administrative tasks with some supervision.
- Effective time management skills.
- Ability to maintain a high level of discretion and sensitivity in relation to confidential personal and professional information.
- Strong organizational skills with the ability to meet deadlines and multi-task.
- Ability to foster a collaborative and supportive work environment, promoting open communication and a positive team culture.
WORK ENVIRONMENT/JOB CONDITIONS:
- Full-time in office role based at our headquarters office located in Southfield, MI
- Standard hours are from 8:00 am to 5:00 pm, with opportunities for a flexible daily schedule
- Ability to bend, reach, and lift boxes and office supplies up to 30 lbs.
