POSITION SUMMARY

The Project Administrator is responsible for ensuring the smooth coordination, documentation, and administrative support necessary for the successful execution of the Skyview BESS II Project. Tasked with facilitating communication between project managers, field teams, subcontractors, suppliers, and clients, the Project Administrator is the crucial backbone that upholds order, compliance, and efficiency in a dynamic, fast-paced environment. This role is required to be on site in Spencerville, Ontario, and is an 18-month position. 

 

KEY JOB RESPONSIBILITIES:

  • Maintain and systematically organize all project documentation, including contracts, drawings, permits, RFIs, change orders, and correspondence.
  • Schedule, record, and distribute agendas, minutes, and reports for various meetings such as daily, weekly, and monthly project progress meetings in accordance with contractual requirements.
  • Prepare and assist project team members in developing client reports and presentations.
  • Coordinate with project teams to follow up on action items, monitor work progress, and resolve pending issues.
  • Capture and maintain daily photographic records of work progress.
  • Manage procurement of office supplies and arrange catering services as required.
  • Scan, organize, and maintain safety records, training certificates, and onboarding documentation for employees, subcontractors, and vendors.
  • Update and maintain various project logs, including but not limited to the risk register and lessons learned database.
  • Adhere to all safety protocols and guidelines to maintain a safe and secure work environment.


REQUIRED KNOWLEDGE, EDUCATION, EXPERIENCE, SKILLS, AND ABILITIES:

  • Demonstrate an interest in the construction industry.
  • 1-2 years of administration experience in construction or related field preferred.
  • Strong customer service and communication skills.
  • Reliable and has a strong work ethic.
  • Ability to follow instructions and work effectively in a team.
  • Excellent critical thinking and problem-solving ability.
  • Strong organizational and time-management skills.
  • Demonstrates exceptional accuracy and thoroughness in work.
  • Strong working knowledge of Microsoft computer software (e.g. Excel, Word, Project, etc.).
  • Willingness to learn and adapt to new tasks and responsibilities.
  • Basic understanding of construction procedures and safety guidelines.
  • Must have reliable transportation and willingness to work on our project site in Spencerville, Ontario.
