POSITION SUMMARY
Reporting to the Project Manager, the Junior Project Coordinator will be responsible for providing coordination and support to various aspects of the project execution phase. In this role, you will perform project coordination duties, such as, field progress tracking, planning and scheduling, maintaining logs, administrative and document control, and will provide overall support to the Project Manager. This role is required to be on site in Spencerville, Ontario.
KEY JOB RESPONSIBILITIES:
- Maintain and systematically organize all project documentation, including contracts, drawings, permits, RFIs, change orders, correspondence, safety records, training certificates, onboarding documentation, and Quality Assurance materials (e.g., QC forms, ITPs, test results, job books).
- Schedule, record, and distribute agendas, minutes, and reports for project meetings (daily, weekly, monthly) in accordance with contractual requirements.
- Prepare client reports and presentations in collaboration with the project team.
- Coordinate with project teams to monitor progress, follow up on action items, and resolve outstanding issues.
- Capture and maintain daily photographic records of work progress.
- Manage procurement of office supplies and arrange catering services as needed.
- Update and maintain project logs, including risk registers, lessons learned, RFIs, submittals, change orders, and action items.
- Utilize project scheduling and control tools to monitor plans, work hours, budgets, and performance.
- Assist with tracking and managing change notices and change order documentation.
- Support the Project Manager in drafting and issuing proposals, RFPs, tenders, budgets, and cash flow reports.
- Communicate process improvement ideas constructively and promote a culture of continuous improvement.
- Actively participate in problem resolution and risk mitigation initiatives.
- Adhere to all safety protocols and maintain a secure work environment.
- Perform other duties and responsibilities as assigned by the Project Manager
REQUIRED KNOWLEDGE, EDUCATION, EXPERIENCE, SKILLS, AND ABILITIES:
- Demonstrate an interest in the construction industry.
- Previous experience in construction or related field preferred.
- Basic knowledge of Microsoft Office Suite, Microsoft Project or P6
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- Reliable and has a strong work ethic.
- Basic understanding of construction procedures and safety guidelines.
- Ability to follow instructions and work effectively in a team.
- Excellent critical thinking and problem-solving ability.
- Willingness to learn and adapt to new tasks and responsibilities.
- Must have reliable transportation and willingness to work on our project site in Spencerville, Ontario.
